Booking and Pricing

Pricing depends on your trip details: date/season, total hours or days, mileage, pickup location, itinerary (tolls/parking), and coach size (40 vs. 56 passenger). Share your trip details and we’ll provide a firm quote. Get a Quote or call 717-464-2767.

Headcount, preferred coach size (40 or 56 passenger), date(s), pickup/drop-off points, timeline/itinerary, luggage or equipment needs, and any amenity requests (Wi‑Fi, outlets, restroom, ADA lift).

We don’t have a minimum size requirement, but we recommend taking at least 30 people to make the trip affordable.

ADA-accessible coaches with wheelchair lifts are available by advance request. Please give us a 48 hours’ notice and share mobility needs, number of mobility devices, and any securement requirements.

Yes, capped beverages and tidy snacks are welcome. Please avoid glass and greasy or easily spilled items. A cleaning fee may apply if excessive cleaning is required.

We do not permit alcoholic beverages on our motorcoaches. 

No. All Executive Coach vehicles are smoke‑free and vape‑free.

Service animals are welcome. Non‑service pets are case‑by‑case and must be approved in advance.

Safety and Compliance

We comply with FMCSA hours‑of‑service rules for passenger carriers (generally up to 10 hours driving within a 15‑hour on‑duty window, followed by at least 8 hours off). For long distances or tight schedules, we may recommend a relief driver.

We maintain our fleet rigorously and provide 24/7 dispatch support. If an issue arises, we coordinate roadside assistance or dispatch a replacement coach and keep your group informed to minimize delays.

Our drivers are professionally trained and licensed. Coaches undergo regular inspections and maintenance, and we follow all applicable DOT and safety regulations.

A great way to check a motorcoach company’s safety is to check their DOT Safety Rating. The highest rating is satisfactory and other possible ratings include conditional, not rated, and unsatisfactory.

We have the $5 million required policy by Lancer, the premier motorcoach insurance provider.

All of our drivers have CDLs (commercial drivers licenses).

All of our motorcoaches are inspected regularly to ensure they meet all current safety and operational requirements.

Trip Logistics

Full‑size coaches include undercarriage luggage bays plus overhead bins for carry‑ons. Please tell us about oversized items (band instruments, athletic gear, strollers, coolers) so we plan for space and securement.

We handle routing and driving. Tolls/parking/permits are typically billed to the charter. For venues that require bus permits or designated load zones (e.g., NYC, Washington DC, stadiums), we’ll advise on logistics in advance.

Yes—share your schedule and must‑have stops when booking. Day‑of adjustments can often be accommodated within safety and hours‑of‑service limits; please coordinate with your driver and our dispatch team.

Yes. For overnight/multi‑day charters, the client provides a private hotel room for the driver(s) at or near your lodging.

Share your ceremony/reception locations, photo stops, and timeline, plus guest headcount and accessibility needs. We’ll plan efficient shuttle loops and staging to keep your day on schedule.

We work with schools to align on safety protocols, chaperone ratios, and headcounts. If your district has specific requirements, please provide them with your request.

Airline, flight numbers, terminal info, luggage volume, and contingency contacts. We monitor flight status for schedule adjustments.

Yes—just share the number/size of equipment bags, coolers, and any special storage needs.

Yes. We support government officials and campaign teams and can coordinate complex, multi‑stop days with secure staging as needed.

Payments, Deposits, and Cancellations

Major credit cards and ACH/bank transfer. If you require invoicing or a purchase order, let us know.

Yes, a deposit is typically required to reserve your coach(es). The balance is due prior to departure per your agreement.

A deposit of $100 per day is due to reserve a coach. The remainder of the payment is due 14 days prior to the departure of the trip. Deposits for coaches are refundable in full if the trip is canceled 30 days prior to the date of the trip. Cancellations within 30 days of the trip date are subject to cancellation charges. You can find more information on this in our terms and conditions.

Tipping is optional but appreciated for great service. Many groups use 10–20% of the charter cost or USD 3–5 per passenger per day as a guideline.

Day‑Of Travel

We plan comfort stops around your itinerary and driver regulations. If you have preferred stop locations, let us know in advance.

All coaches include PA systems which includes microphone, DVD player and HDMI connections.

Safety comes first. If conditions are unsafe and there is a road closure by the state government, we’ll coordinate delays, alternate timing, or rescheduling per the contract terms.

Accessibility and Service Animals

Yes. Service animals are permitted on all coaches. Please inform us in advance so we can seat and accommodate your party comfortably.

General

We have our coaches checked upon their return to the service center and any missing items are logged and the groups contacted to attempt to find the owners. These items are kept for 30 days.
