Terms & Conditions to Ride | Executive Coach – Lancaster, PA

Bus Trip Passenger Terms and Conditions

To ensure the safety and coach availability for all of our customers, Executive Coach has implemented the following safety and financial terms and conditions.

Safety

  1. Driver Hours: Executive Coach adheres to the federal rules for driver hours of service. These rules were implemented by the federal government for the safety of passengers. They require that a single driver drive no more than 10 hours and be on duty (driving and non driving) for no more than 15 hours in one day. On multi day trips, the driver must have at least 8 consecutive hours off duty between days. If your trip exceeds these hours, an extra driver will be required to complete your trip. The use of an extra driver will be itemized separately on your quote. If your trip requires an extra driver and it isn’t itemized on your quote, please contact the office for clarification of the ruling as it relates to your itinerary to ensure you are able to complete your excursion as planned.
  2. Highly Flammable Materials: To reduce the potential for harm in the unlikely event of an accident, highly flammable materials such as propane and oxygen are not permitted on the coach or in the luggage compartment unless medically necessary. If oxygen is medically necessary, the minimum practical amount necessary to sustain normal breathing for the duration of the trip will be permitted on board. All canisters and tanks must be in perfect shape (no dents, gouges or pits) without any leaking valves. THERE WILL BE NO EXCEPTIONS!
  3. Movies: Movies will not be provided by Executive Coach. Movies shown on the motorcoach must be rated G or PG and at a volume which allows safe operation of the motorcoach. All other movies must be edited for public viewing by general audiences. Executive Coach reserves the right to have the driver refuse to play any movie which does not meet these requirements.
  4. Luggage: To minimize injury to people loading the luggage bay, there is a maximum of 50 pounds per item loaded into the luggage bay unless there is a prior arrangement made with the office. All luggage must be airline-approved. All other cases or equipment must be handled by the customer.

Americans With Disability Service

  1. Service Dogs: Specially trained service dogs are permitted on our coaches. For the safety of all passengers, the dog may not sit in the aisle; it must have a dedicated seat.
  2. Medical Oxygen: Allowed on our coaches. See Highly Flammable Materials above.
  3. Wheelchair Accessible Coach: With at least 48 hours advance notice, a wheelchair accessible coach may be scheduled.

    • Passenger and wheelchair combined must be less than 600 pounds.
    • Wheelchair must be less than 26″ wide by 46″ long.
    • Must be capable of being strapped down in the coach.
    • There is a loss of 4 regular seats for each wheelchair position utilized.
    • There are 2 wheelchair positions on the coach.
    • Extra time is required for loading and unloading using the wheelchair lift. Adjust the schedule appropriately.

Financial

  1. Driver Accommodations: On multi-day trips, the chartering group is responsible to pay for driver accommodations. On multi-coach trips, one room is required per driver.
  2. Driver Gratuity: Gratuity is not included in the price of a charter unless specified by the customer. The current industry standard is $2.00 to $5.00 per person per day.
  3. Credit Card: There will be a 2% convenience fee added for all credit card purchases.
  4. Fuel Surcharge: The quoted price is based on a diesel price less than $3.00 per gallon. Should the price of diesel increase above $3.00 per gallon, a fuel surcharge will be added to the quoted price. The surcharge will be calculated assuming 6 miles per gallon per coach, the number of miles traveled and the price differential above $3.00 per gallon.
  5. Deposit: A deposit of $100 per day is due to reserve a coach. The remainder of the payment is due 14 days prior to departure of the trip.
  6. Refunds: Deposits for coaches are refundable in full if the trip is canceled 30 days prior to date of trip. Trips cancelled between 15 and 30 days of trip departure will incur a $100 per day cancellation charge. Trips cancelled less than 15 days of trip departure will incur a cancellation fee of 50% of the charter amount. Deposit refund policy for tickets, meals, accommodations and attractions varies according to the vendor involved. Full payment for tickets is required before ordering tickets on your behalf.
  7. Quotes: Please check all information carefully. Multi day quotes are based on the group providing lodging for the driver. Prices quoted are based on information furnished to us, at the time of the quote request, by the chartering party. Any changes or corrections should be made at least one (1) week prior to departure. Any changes made resulting in additional miles and/or hours will be charged accordingly.
  8. Conditions: It is understood that it may be necessary on peak travel days to use a coach of similar quality from another coach company. Baggage and all personal property are limited to that which can be stored in the overhead racks and the luggage bays of the coach. Carrier is not responsible for lost, stolen or damaged personal property. Damage to seats, windows, equipment or parts of the coach caused by a member of the chartering party shall be paid by the chartering party. An extra charge may also be incurred if the coach requires cleaning beyond our standard cleaning procedure. Smoking and consumption of alcoholic beverages are prohibited on all coaches.
  9. Itinerary: A detailed itinerary is required two weeks prior to the trip departure to allow time for the dispatcher and driver to properly prepare. If a detailed itinerary is not received and no communication with the office to state when it will be received, Executive Coach reserves the right to cancel the charter.
